These Terms and Conditions govern the relationship between Aircon4Homes (a trading name of 4Facilities Ltd, Company No. 09442426, registered in England and Wales — hereinafter "we", "us", or "the Company") and the customer ("you") in connection with the supply of domestic air conditioning installation services. By requesting a quote, booking a survey, or instructing us to carry out any works, you agree to be bound by these Terms.

These Terms do not affect your statutory rights as a consumer under UK law, including the Consumer Rights Act 2015 and the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.

1. Online Estimates

The instant estimate provided through our online quote tool is an indicative guide price only. It is generated automatically based on the information you supply and does not constitute a formal quotation, offer, or contract. The estimate is subject to a free on-site survey by one of our engineers, after which a formal written quotation will be provided.

The final quoted price may differ from the online estimate where, following the survey, it is determined that the installation requires additional materials, a longer pipe run than the standard 10 metres included, non-standard wall construction, additional electrical work, or any other factor not captured by the online tool. We will always inform you of any variation before commencing work.

All prices are exclusive of VAT unless otherwise stated. VAT will be charged at the current applicable rate.

2. Free Survey

We offer a free, no-obligation on-site survey for all prospective customers within our service area (East Sussex, West Sussex, Kent, Surrey and Hampshire). The survey is carried out by a qualified engineer who will assess the suitability of the proposed installation location, confirm the electrical supply requirements, and measure the pipe run distance.

Following the survey, we will provide a formal written quotation valid for 30 days from the date of issue. You are under no obligation to proceed with the installation following a survey.

We reserve the right to decline to provide a quotation or carry out an installation where, in our professional judgement, the works cannot be completed safely, to the required standard, or within the scope of our standard service offering.

3. Scope of Works and Electrical Exclusions

Our standard installation service covers the supply and fitting of a single split wall-mount air conditioning system for a single room (bedroom or living room), including:

  • Indoor wall-mount unit and outdoor condenser unit
  • Insulated copper refrigerant pipework (up to 10 metres)
  • Electrical cabling and connection to an existing, suitable fused spur or dedicated circuit
  • Wall brackets, fixings, and trunking
  • Condensate drain pipe
  • F-Gas leak test and full system commissioning
  • System demonstration and manufacturer warranty registration

Electrical exclusions: Our standard service assumes that a suitable electrical supply (a fused spur or existing dedicated circuit) is available within reasonable proximity of the proposed indoor unit location. We do not, as part of our standard installation, carry out the following electrical works:

  • Installation of a new consumer unit or distribution board
  • Upgrade of an existing consumer unit or electrical panel
  • Installation of a new dedicated circuit from the consumer unit where this requires significant additional cabling or remedial electrical work
  • Any works requiring a Part P Building Regulations notification beyond the standard connection

Where additional electrical works are identified as necessary during the survey, we will advise you accordingly. Such works may be quoted separately or may require engagement of a separate Part P registered electrician. We accept no liability for costs arising from electrical works outside our standard scope.

Pipe runs exceeding 10 metres will be subject to an additional charge, which will be confirmed in the formal written quotation following the survey.

4. Quotations and Acceptance

A formal written quotation is provided following the on-site survey and is valid for 30 days from the date of issue. Acceptance of the quotation constitutes a binding agreement between you and the Company, subject to these Terms. We will confirm acceptance in writing (by email) and agree an installation date with you.

We reserve the right to withdraw or amend a quotation at any time before written acceptance. Where material changes to the scope of works are identified after acceptance but before installation, we will notify you in writing and obtain your agreement before proceeding.

5. Payment

Unless otherwise agreed in writing, payment terms are as follows:

Payment is accepted by bank transfer or card. All invoices are due for payment within 7 days of the invoice date. We reserve the right to charge interest on overdue amounts at the rate of 8% per annum above the Bank of England base rate, in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.

Title to any equipment supplied remains with the Company until payment has been received in full.

6. Cancellation and Your Right to Cancel

As a consumer contracting for services, you have the right to cancel this contract within 14 days of accepting the quotation, without giving any reason, in accordance with the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 (the "Cooling-Off Period").

To exercise your right to cancel, you must notify us in writing (by email to [email protected] or by post to our registered address) before the end of the 14-day period. If you cancel within the Cooling-Off Period, any deposit paid will be refunded in full within 14 days of your cancellation notice.

Where you request installation to begin within the Cooling-Off Period: If you ask us to begin the installation works before the 14-day Cooling-Off Period has expired, you acknowledge that you will be liable to pay for any works carried out up to the point of cancellation, proportionate to the total contract price.

Cancellation after the Cooling-Off Period: If you cancel after the 14-day Cooling-Off Period, the deposit paid is non-refundable. Where materials have been ordered or works have commenced, you may be liable for additional costs incurred. We will provide a written breakdown of any such costs.

We reserve the right to cancel an installation booking with reasonable notice if circumstances beyond our control prevent us from fulfilling the contract. In such cases, any deposit paid will be refunded in full.

7. Installation Day

You agree to provide our engineers with safe and reasonable access to the property on the agreed installation date, including access to the proposed indoor unit location, the external wall or roof space for the outdoor unit, and the electrical consumer unit. A responsible adult (aged 18 or over) must be present throughout the installation.

We will take reasonable care to protect your property during the installation, including laying dust sheets where appropriate. However, we cannot be held responsible for minor redecoration required as a result of the installation (for example, making good around cable or pipe entry points), unless caused by our negligence.

Where, on the day of installation, conditions are found to differ materially from those identified during the survey (for example, concealed structural obstacles, inaccessible wall cavities, or an unsuitable electrical supply not identified at survey), we reserve the right to suspend the installation and re-quote. Any deposit paid will remain valid against the revised quotation.

8. Warranty and Guarantee

All equipment supplied is covered by the manufacturer's warranty, the terms of which will be provided to you on completion of the installation. It is your responsibility to register the warranty with the manufacturer where required; we will assist with this as part of our commissioning process.

We provide a 12-month workmanship guarantee on all installation works carried out by our engineers. This covers defects arising from the installation itself and does not extend to equipment faults covered by the manufacturer's warranty, damage caused by misuse, or faults arising from works carried out by third parties after our installation.

The workmanship guarantee is void if the system is serviced, modified, or repaired by any party other than Aircon4Homes or an authorised engineer without our prior written consent.

9. Liability

Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by applicable law.

Subject to the above, our total liability to you in connection with any installation contract shall not exceed the total price paid by you under that contract. We shall not be liable for any indirect, consequential, or economic loss, including loss of profits, loss of data, or loss of anticipated savings, whether arising in contract, tort (including negligence), or otherwise.

We are not liable for any damage to property, equipment, or systems that arises from pre-existing defects, inadequate electrical infrastructure, or conditions not disclosed to us at the time of survey.

10. F-Gas and Regulatory Compliance

All installation works involving refrigerant gases are carried out by F-Gas certified engineers in accordance with the UK F-Gas Regulations. We maintain appropriate F-Gas certification and insurance. You must not tamper with, recharge, or attempt to service the refrigerant circuit yourself or instruct an uncertified person to do so, as this is a criminal offence under UK law.

11. Service Area

Our standard service area covers East Sussex, West Sussex, Kent, Surrey and Hampshire. Installations outside this area may be considered at our discretion and may be subject to a travel surcharge, which will be confirmed in the formal quotation.

12. Complaints

We are committed to providing a high standard of service. If you are dissatisfied with any aspect of our work, please contact us in the first instance by email at [email protected] or by telephone on 01273 044 045. We will acknowledge your complaint within 2 working days and aim to resolve it within 14 working days. If we are unable to resolve your complaint to your satisfaction, you may seek independent redress through the courts or an appropriate alternative dispute resolution scheme.

13. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

14. Changes to These Terms

We reserve the right to update these Terms and Conditions at any time. The version in force at the time you accept a quotation will apply to that contract. The current version is always available at www.aircon4homes.com/terms.
